THE PROBLEM.

Every refund and return moved through a spreadsheet shared between the warehouse floor and the admin team. Warehouse staff logged what came back, admin cross-checked it against orders, approved the refund and updated stock, all by hand, all in one shared file.
It worked, in the way spreadsheets always work until they don't: no audit trail on who changed what, no way to see which products were causing repeat problems, and admin spending hours a week just filtering and cross-referencing rows instead of processing.
An off-the-shelf returns tool would have meant bending the business's actual workflow to fit the software. That trade-off wasn't worth it for a business whose warehouse-to-admin handoff was already specific and well understood, just badly tooled.
